How this is calculated

This calculator adds the main trip cost categories, then divides the total by the number of people. It treats accommodation, flights, food and activities as shared planning buckets rather than a full travel ledger.

The method is deliberately simple: total trip cost equals accommodation plus flights plus food plus activities; cost per person equals total divided by travellers. For work travel, HMRC and employer policies may treat travel and subsistence differently, but for personal holidays the useful planning number is the total cash cost you expect to pay.

Use the result as a practical planning estimate for accommodation, flights, food, activities, total trip cost, cost per person.   2. The total is GBP1,700.
  3. With two travellers, the cost per person is GBP850 before insurance, transfers or spending money.

Family trip for four

  1. If accommodation is GBP1,200, flights are GBP800, food is GBP700 and activities are GBP300, the total is GBP3,000.
  2. Dividing by four gives GBP750 per person.
  3. A family may still split costs by adults and children differently, but the per-person view helps compare options.

Adding a buffer

  1. If the core budget is GBP1,700, adding a 10% buffer means setting aside another GBP170.
  2. The safer planning total becomes GBP1,870.
  3. Buffers are useful for exchange-rate movement, local taxes, luggage, airport food and last-minute taxis.
